Accounting Reports (Legacy)

The Accounting section in Clutch Portal allows you to view Activity, Balance, Settlement and Transaction reports. Some of these reports can be broken down further by viewing Gift, Loyalty, and Reward activity, as well as by Location, Program, and Card Set.

Location: A location represents either a physical brick and mortar store location, a website, or anything describing a venue where customers can interact with a Point of Sale device.

The external ID is the location name that is used in the API call to Clutch as a unique identifier for that specific brand location. For example, Clutch’s main office is located in Ambler, PA, so we have a location for our office in Ambler with an external ID of CLUTCHAMBLER.

Program: Programs are either Gift/Stored Value, Loyalty, or Combo (Gift & Loyalty).

Gift Activity:

  • Gift Issued is the amount of money put on to a card.
  • Gift Issuances is the number of transactions when a card is issued an amount of the relevant currency type.
  • Gift Redeemed is the amount of money taken off a card.
  • Gift Redemptions is the number of transactions when a card has the amount of currency type removed.

Loyalty Activity:

  • Points Issued is the amount of points put onto a card.
  • Points Issuances is the number of transactions when a card is issued points.
  • Points Redeemed is the amount of points taken off a card.
  • Points Redemptions is the number of transactions when a card has points removed.

Reward Activity:

  • Reward Issued is the amount of cash back, or other reward type, put on to a card.
  • Reward Issuances is the number of transactions when a card is issued cash back, or other reward type.
  • Reward Redeemed is the amount of cash back, or other reward type, taken off a card.
  • Reward Redemptions is the number of transactions when a card has cash back, or other reward type, removed.

Card Set: Card sets are the virtual or physical cards that are tied to your Program. 

Activity Reporting
In the activity overview section, you can review a high-level summary of your brand’s gift and loyalty activity in the Clutch platform. Your brand’s activity is broken down by four different factors: Location, Program, Card Set or Transaction Type. Each of these reports are viewable by Gift Activity, Loyalty Activity and Reward Activity, and each report can be further filtered by date range, location and program. All reports are exportable to an Excel or CSV file.

Balance Reporting
Your outstanding balances are split up by gift (stored value), loyalty (eg. points or punches) and reward balances (eg. free appetizer). You can view your outstanding balances by location, program or card set. Each of these reports are viewable by Gift Activity, Loyalty Activity and Reward Activity, and can be further filtered by date range, location and program and currency for clients that utilize multiple currencies. These reports record through the end of day, 11:59:59pm, based on the timezone. All reports are exportable to an Excel or CSV file.

Settlement Reporting
The Settlement Report is designed to provide monthly details regarding the net result of all gift cards that were issued and redeemed across your location(s) and participating location(s) within your gift card network.

Example: If a $100 gift card is issued by location A and $25 of that card’s value is redeemed by location B, the settlement report for location A will indicate a Debit of $25. The settlement report for location B will indicate a Credit of $25.

Transaction Reporting
These reports will include card number, transaction type, date, terminal, location as well as balances such as points, gift, loyalty or other custom balances. The table on this page displays the 100 most recent transactions. All transactions are available when you export a report. If your exported file too large to download immediately it will be available from the report center. You’ll be notified by email once it is ready for download.
